1st QTR. MAAST BOD MEETING

CALL MEETING TO ORDER:

A. SECRETARY TO READ MINUTES FROM PREVIOUS OFFICIAL BOD MEETING
1. OLD BUSINESS
Sponsor fees were reduced to $50.00 from $200.00.
Sponsor contract has been written and was approved by the BOD.
We have two new board members who have joined the ranks. Thank you to Brandon and Shane for joining us and welcome to the BOD.
BOD length of service was reduced from 2 years to 1 year and all terms of office expire at the end of each year.

2018 Budget
Currently I am proposing a similar budget to the 2017 budget. The annual budget last year was $3275.00 and this year it will $3285.00.
$840.00 will be allocated meetings.

$950.00 for LMAR raffle prizes.
$100.00 for LMAR marketing.
$150.00 for LMAR food.
$200.00 for misc. supplies and equipment.
$640.00 MAAST.org website.
$300.00 for marketing/swag.
$60.00 PO Box rental.
· Discussion was brought up around talking about selling MAAST.org to new user as a marketing tool
· The group decided to invest in making generic business cards for the BOD to pass out to folks they meet that are potential members
· There was a motion to vote on the 2018 budget (Justin) and 2nd by Mike Zimmerman

Do we want to continue to have 2 meetings per quarter or do we want to have monthly meetings? Option to do a local hobbyist swap at Mike’s House
What other topics for meetings are of interest?
Who is willing to host a meeting in their home?

Door Prizes. I would like to propose a limit of one door prize per member per meeting in the event that we offer more than one prize at a meeting. We did not bring this motion to a vote at the meeting

Charter Member frag tank (2-3 spaces) $50 ($30 of which are a deposit for the frag tank and to ensure it is well kept during the event which can be refunded if everything checks out).
For the Sponsors, Hobbyists, and commercial vendors, $50 can be paid via a coral frag for the golden coral contest. Do we want to continue this contest in 2018? If so what changes need to be made to improve this?
Also, since we have lowered our sponsorship fees do we still want continue to allow the $50.00 credit for a coral donation?
Door Prizes – Do we want to limit the winner of a door prizes to one prize so that more people have the opportunity to win.
We need input from all our Charter Members as to what items you would like to see for raffle prizes.

C. SPONSORSHIP/CHARTER
1. Maintain relationships with sponsors
2. Acquire new sponsors and charter members
3. Re-sign old sponsors (a few have expired, we will have to get on this ASAP)
Sponsor email list: offer a free raffle ticket to those who add their email information to be given to sponsors for email blasts (let them know on the sheet) as many sponsors have expressed interest in this.

2. MAAST MERCHANDISING Tools – Freebies and Swag
I would like to see MAAST shirts for the BOD to aid in identifying us at LMAR. Shirts in a different color could be given away to some charter members attending LMAR and sold to MAAST members.

Swag: Previously we discussed towels, shirts, stickers, etc.
3. FB Marketing: I would like to see use do some marketing on FB. Tentative budget would be $100.00
F. EDUCATIONAL
1. I would like to see us present information that is of value to new hobbyist as well as our experienced members.
2. All BOD members should be presenting educational information on both MAAST.Org and Facebook.
G. CONTESTS –
Tank of the Quarter – Handled by Mike Zimmerman
1. Do we want to continue this and if so we need to decide who will be responsible for the interviews and and write ups.
